The short answer
Send the quote or agreement from the system it already lives in, so nobody retypes it. Let the client sign from a link on their phone, without an account. Set reminders. And have the signed PDF land back on the ticket, opportunity or deal, so the next step starts on its own. bSign does this with Syncro, ConnectWise PSA, Autotask PSA and HubSpot, among others.
Where signatures stall
- The client has to download, print, sign and scan.
- The quote goes to someone who can't approve it, and sits there.
- Nobody remembers to follow up.
- The signed copy comes back by email, and someone has to file it and update the ticket by hand.
Send from your PSA or CRM
- Syncro: estimates and tickets go out for signature at the status you choose, filled in from Syncro. The signed PDF lands on the ticket and the estimate is marked approved.
- ConnectWise PSA: opportunities and service tickets go out at the stage or status you choose. The signed PDF is attached to the record with a note, and the stage or status moves on.
- Autotask PSA: tickets and opportunities go out at the status or stage you choose, filled in from the record and its user-defined fields. The signed PDF is attached and the record moves on.
- HubSpot: when a deal reaches the stage you choose, the agreement goes out filled in from the deal, its contact and company, and the signed PDF is added to the deal.

The documents MSPs send most

An acceptable-use policy that every user at a client has to sign can go out in one step: bulk send takes a spreadsheet of names and email addresses and makes a separate copy for each person.
